These Terms & Conditions apply to all services provided by Simtec Golf Ltd, including but not limited to simulator hire, coaching, custom fitting, memberships, retail sales, golf club repairs, private hire and events at both Kings Langley and Berkhamsted locations.
By making a booking, purchasing goods or services, becoming a member, attending an event or using any Simtec Golf Ltd facility, you agree to these Terms & Conditions.
1. About Simtec Golf
Simtec Golf Ltd operates premium indoor golf facilities at Kings Langley and Berkhamsted using TrackMan simulator technology.
Our services include simulator hire, golf coaching, custom fitting, golf club repairs, retail sales, memberships, events, private hire and other golf-related services.
Services, pricing, facilities, coaches, opening hours and availability may vary between locations and may change from time to time without notice.
Whilst we make every effort to ensure our website, booking platform and marketing material remain accurate, occasional errors may occur. Simtec Golf Ltd reserves the right to correct pricing, descriptions, availability and obvious administrative errors where necessary.
2. Bookings & Payments
All bookings must be paid for in full at the time of booking unless otherwise agreed in writing by Simtec Golf Ltd.
Bookings are only confirmed once payment has been successfully received and a confirmation has been issued.
Customers are responsible for checking all booking details before completing their reservation, including:
- Date
- Time
- Location
- Service booked
- Number of participants
Late arrival does not extend your booking time and no refund, credit or additional time will be provided where a booking is shortened due to late arrival.
Bookings are personal to the customer making the reservation and may not be transferred to another person without the prior agreement of Simtec Golf Ltd.
3. Cancellations, Refunds & Rescheduling
3.1 Simulator Hire
Where more than 24 hours’ notice is provided before the booking start time, Simtec Golf Ltd may, at the customer’s request:
- Reschedule the booking;
- Issue Simtec Golf account credit; or
- Provide a refund.
Requests received within 24 hours of the booking start time are not eligible for a refund or account credit.
In exceptional circumstances, Simtec Golf Ltd may offer a discretionary reschedule, however this is entirely at our discretion and cannot be guaranteed.
3.2 Coaching & Lessons
Coaching sessions cancelled with less than 24 hours’ notice will be charged in full.
No refund or account credit will normally be provided for lessons cancelled within 24 hours of the scheduled start time.
Where appropriate, and entirely at the coach’s discretion, an alternative lesson time may be offered.
3.3 Rescheduling
Requests to reschedule simulator bookings or coaching sessions should be made at least 24 hours before the scheduled start time.
Requests received inside this period may be treated as a late cancellation.
Any account credit issued by Simtec Golf Ltd remains valid for 12 months from the date of issue unless otherwise stated.
Account credit has no cash value and cannot be exchanged for cash.
3.4 No Shows
Failure to attend a booked simulator session, coaching lesson, event or private hire booking without prior notice will be treated as a no-show.
No refund, account credit or rescheduled booking will be provided.
3.5 Technical Issues
If a booking is materially affected by equipment failure, software issues, power failure or another issue within the reasonable control of Simtec Golf Ltd, we may offer one of the following:
- A rescheduled booking;
- Simtec Golf account credit;
- A partial refund; or
- A full refund where appropriate.
Minor interruptions, user error, misuse of equipment or events outside our reasonable control may not qualify for compensation.
The decision of Simtec Golf Ltd regarding the appropriate remedy shall be final.
4. Facility Conduct & Safety
The safety of all customers, visitors and staff is our priority.
Guests must follow all instructions provided by Simtec Golf staff together with any displayed signage and safety guidance.
Only one person may swing a golf club within a simulator bay at any one time, unless instructed otherwise by a member of staff or coach.
Customers must ensure the hitting area is clear before every shot and remain aware of other people within the bay.
Unsafe behaviour, abusive language, threatening behaviour, intoxication, misuse of equipment or behaviour that places others at risk may result in immediate removal from the premises without refund or compensation.
Simtec Golf Ltd reserves the right to refuse entry, cancel bookings or remove any individual where we reasonably believe their behaviour presents a safety, welfare or operational concern.
Customers remain responsible for any loss or damage caused by themselves or any member of their booking party.
9. Memberships
Simtec Golf memberships provide a range of benefits designed to enhance the customer experience. Membership benefits, pricing and availability may vary between membership types and may be amended from time to time.
Current membership benefits are published on our website and form part of each membership package.
Memberships are personal to the named member and cannot be transferred, shared or resold.
Members are responsible for ensuring their contact details and payment information remain up to date.
Membership discounts and benefits cannot be used in conjunction with any other offer unless specifically stated by Simtec Golf Ltd.
Free monthly simulator sessions included within a membership must be used during the applicable month unless otherwise stated. Unused sessions cannot be exchanged for cash and do not roll over to future months.
Simtec Golf Ltd reserves the right to amend membership benefits where necessary, provided reasonable notice is given where the change materially affects the membership.
9.1 Membership Payments
Memberships are collected by recurring monthly payment.
Failure to collect payment may result in membership benefits being suspended until the outstanding balance has been paid.
Repeated failed payments may result in membership cancellation.
9.2 Membership Misuse
Memberships are intended solely for the named member.
Simtec Golf Ltd reserves the right to suspend or terminate a membership without refund where we reasonably believe a membership has been shared, abused or used fraudulently.
9.3 Membership Cancellation
Memberships may be cancelled by providing one calendar month’s written notice before the next payment date.
Membership benefits remain active until the end of the paid membership period.
No partial refunds are available for unused membership periods.
10. Coaching
Lessons are provided by PGA Professionals or approved golf coaches operating from Simtec Golf.
Customers should arrive in sufficient time for their lesson. Late arrival may reduce the available coaching time.
Coaching programmes are tailored to the individual golfer and no guarantee is given regarding future performance, handicap reductions or playing ability.
Video analysis, launch monitor data and coaching notes remain the intellectual property of the coach unless otherwise agreed.
Where lessons form part of a coaching package, any expiry date advised at the time of purchase will apply.
Individual coaches may operate additional booking or cancellation policies, which will be communicated before booking where applicable.
11. Custom Fitting
Custom fitting appointments are designed to help golfers identify equipment that best suits their swing, ball flight and playing characteristics using TrackMan technology and professional fitting expertise.
To achieve the most accurate results, customers should be able to make reasonably consistent contact with the golf ball. Where a fitter believes a customer would benefit more from coaching before a fitting, they may recommend postponing the fitting. If the fitting has already commenced, the fitting fee remains payable.
Simtec Golf supplies premium golf balls for all fitting appointments unless otherwise advised.
Fitting recommendations are based on the information available during the session, including TrackMan data, customer feedback and the fitter’s professional judgement. While every effort is made to provide the most suitable recommendation, Simtec Golf Ltd cannot guarantee improvements in performance, distance or scoring.
Any equipment ordered following a fitting is subject to manufacturer availability, specifications and delivery times.
Special order or custom-built equipment cannot normally be cancelled or returned once the order has been placed with the manufacturer, unless required by law or where the product is found to be faulty.
12. Events & Private Hire
Private hire bookings, corporate events, competitions and group bookings may require a deposit or full payment in advance.
Any deposit paid is non-refundable unless otherwise agreed in writing.
Final guest numbers should be confirmed by the date requested by Simtec Golf Ltd to allow appropriate planning.
The organiser is responsible for the conduct of all attendees within their booking.
Simtec Golf Ltd reserves the right to end an event early without refund where attendees behave in a dangerous, abusive or inappropriate manner or where venue rules are repeatedly ignored.
Where food, entertainment or third-party suppliers are involved, additional booking terms may apply and will be communicated before confirmation.
If Simtec Golf Ltd is unable to provide the event due to circumstances beyond our reasonable control, our liability will be limited to a refund of monies paid for the affected booking.
13. Retail Shop Returns & Exchanges
Simtec Golf aims to provide high-quality products and excellent customer service. If you are not completely satisfied with your purchase, please contact us as soon as possible.
Returns for unwanted retail items may be accepted within 14 days of purchase, provided the item is:
- Unused and in its original condition.
- Returned with all original packaging and labels where applicable.
- Accompanied by valid proof of purchase.
Refunds will be made using the original payment method wherever possible.
For hygiene reasons, certain products, including underwear, socks, personalised items and any other products identified at the time of purchase, may not be eligible for return unless they are faulty.
Custom-built golf clubs, special-order products and personalised goods cannot normally be returned or exchanged unless they are faulty or your statutory rights apply.
Nothing within these Terms & Conditions affects your statutory consumer rights under applicable consumer legislation.
14. Gift Cards & Account Credit
Gift cards and Simtec Golf account credit may be redeemed against eligible products and services offered by Simtec Golf Ltd.
Unless otherwise stated, gift cards and account credit are valid for 12 months from the date of issue.
Gift cards cannot be exchanged for cash and no change will normally be given.
Lost, stolen or damaged gift cards cannot be replaced unless required by law.
Where a booking paid for using gift card credit is cancelled in accordance with our cancellation policy, any refund due will normally be returned as account credit.
Simtec Golf Ltd reserves the right to refuse, cancel or withdraw gift cards where fraud, misuse or unauthorised activity is suspected.
15. Privacy & Data Protection
Simtec Golf Ltd is committed to protecting your personal information and processing it in accordance with applicable UK data protection legislation.
Personal information may be collected when you:
- Make a booking.
- Purchase products or services.
- Become a member.
- Contact us.
- Enter competitions or events.
- Subscribe to marketing communications.
Information collected may include your name, contact details, booking history, payment information and other details reasonably required to provide our services.
Payment card information is processed securely by authorised third-party payment providers and is not stored by Simtec Golf Ltd.
Personal information may be used to:
- Manage bookings and memberships.
- Process payments.
- Provide customer support.
- Improve our services.
- Send marketing communications where consent has been given or another lawful basis applies.
We do not sell your personal information to third parties.

16. Website, Online Bookings & Intellectual Property
Whilst every effort is made to ensure that information published on our website is accurate, Simtec Golf Ltd cannot guarantee that all content will always be free from errors or omissions.
Prices, promotions, opening hours, availability and service information may change without prior notice.
Customers are responsible for ensuring that booking details entered during the online booking process are correct before confirming their reservation.
The Simtec Golf website, branding, logos, photographs, graphics, written content and other intellectual property remain the property of Simtec Golf Ltd or its licensors unless otherwise stated.
No material from our website may be copied, reproduced, distributed, modified or used for commercial purposes without prior written permission.
Links to third-party websites are provided for convenience only. Simtec Golf Ltd accepts no responsibility for the content, availability or privacy practices of external websites.
17. CCTV
For the safety and security of our customers, staff and premises, CCTV operates throughout Simtec Golf’s facilities.
CCTV recordings may be used for the prevention and detection of crime, investigating incidents, protecting property and ensuring compliance with these Terms & Conditions.
Images are processed and retained in accordance with applicable UK data protection legislation and our Privacy Policy.
By entering our premises, you acknowledge that CCTV recording may be in operation.
18. Accessibility
Simtec Golf is committed to making our facilities as accessible as reasonably possible.
If you have any accessibility requirements or require assistance before your visit, please contact us in advance so we can discuss how we may be able to help.
Whilst every effort is made to accommodate all visitors, some areas or services may be subject to physical limitations beyond our reasonable control.
19. Lost Property
Any property found on our premises will be retained for a reasonable period where practical.
Customers who believe they have lost an item should contact Simtec Golf as soon as possible with a description of the missing property.
Items not claimed within a reasonable period may be donated, recycled or otherwise disposed of at our discretion.
Simtec Golf Ltd accepts no responsibility for the loss, theft or damage of personal belongings brought onto the premises.
20. Amendments to these Terms & Conditions
Simtec Golf Ltd reserves the right to amend these Terms & Conditions at any time where reasonably necessary.
The latest version will always be available on our website and will apply to all future bookings and purchases from the date of publication.
Where changes materially affect existing memberships or future bookings, reasonable notice will be provided where practicable.
21. Force Majeure
Simtec Golf Ltd shall not be liable for any failure or delay in performing its obligations where such failure arises from circumstances beyond our reasonable control.
This includes, but is not limited to:
- Power failures
- Internet or telecommunications outages
- Flooding
- Fire
- Severe weather
- Government restrictions
- Industrial disputes
- Supplier failures
- Acts of terrorism
- Pandemics or public health emergencies
- Any other unforeseen event outside our reasonable control.
Where possible, affected bookings will be rearranged or refunded in accordance with our cancellation policy.
22. Complaints
If you are dissatisfied with any aspect of our service, we encourage you to raise the matter with a member of staff at the earliest opportunity so we have the chance to resolve it.
If your complaint cannot be resolved during your visit, please contact us by email at enquiries@simtecgolf.co.uk, providing as much detail as possible, including the date of your visit and any relevant booking information.
We aim to acknowledge complaints promptly and investigate them fairly and reasonably.
23. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
Any dispute arising from these Terms & Conditions or the services provided by Simtec Golf Ltd shall be subject to the exclusive jurisdiction of the courts of England and Wales.
24. Acceptance of these Terms
By making a booking, purchasing products or services, becoming a member, attending an event or otherwise using any Simtec Golf Ltd facility, you confirm that you have read, understood and agree to be bound by these Terms & Conditions.
If you do not agree to these Terms & Conditions, you should not make a booking or use our facilities.
